1. Who I am

I am Sadie Rowbottom, trading as The Grief Coach UK. I am responsible for the personal information I collect and use through my website, enquiries, services and The Grief Lounge.

If you have a question about your information or wish to exercise a privacy right, please email me at Sadie@thegriefcoachuk.com.

2. Information I collect

Depending on how you interact with me, I may collect:

  • Your name, email address and any other contact details you choose to give me.

  • Information about your enquiry, booking, payment and the services I provide to you.

  • Information you choose to share about your grief, circumstances, health or wellbeing so that I can understand your needs and provide appropriate support.

  • Correspondence, feedback and information you provide in an enquiry or questionnaire.

  • Your email address and preferences if you sign up for updates or a retreat waitlist.

  • Information you choose to share when participating in The Grief Lounge Facebook group.

  • Limited technical information about visits to my website, depending on how the website is set up and your cookie choices.

I do not provide coaching directly to children. An adult may nevertheless choose to tell me about a child they are supporting. I will only use that information where it is relevant to the support requested or to a safeguarding concern.

Please avoid sending detailed personal or health information in an initial enquiry unless it is needed for me to respond.

3. How and why I use your information

I use personal information to:

  • Respond to enquiries and arrange bookings.

  • Provide the coaching, education or other sessions you have requested.

  • Take payment, keep financial records and manage my business.

  • Send information you have requested, such as updates about future retreats.

  • Manage The Grief Lounge community and respond to concerns about its use.

  • Keep appropriate records of our communications and the services provided.

  • Comply with legal obligations, respond to legal claims and take appropriate safeguarding action.

  • Send marketing emails where you have signed up to receive them or where another lawful basis and the applicable electronic marketing rules permit it.

The legal basis depends on what I am doing. I may use your information where it is necessary to take steps at your request before a booking, perform a contract with you, comply with a legal obligation, pursue a legitimate interest such as managing enquiries and protecting my services, or where you have given consent.

Information about health and certain other deeply personal matters receives additional protection under data protection law. Where I need to use this type of information to provide a service, I will explain why and seek your explicit consent where that is the appropriate legal condition. Other legal conditions may apply where information must be used or shared for safeguarding or legal claims.

You can withdraw consent by emailing me. Withdrawal does not affect anything lawfully done before you withdrew it, and I may still need to retain some information where another legal reason applies.

4. Marketing and waitlist emails

I will not treat an enquiry or a booking as permission to send you promotional emails without following the applicable marketing rules. If you sign up for emails or a retreat waitlist, I will use your details for the updates described when you sign up.

You can ask me to stop sending marketing or waitlist emails at any time by emailing me or using an unsubscribe option where one is provided. I may still need to send messages connected with a service you have booked.

5. Confidentiality and safeguarding

I treat information shared in private sessions with care. I may need to share relevant information where required by law or where it is necessary and proportionate to address a concern that a child or adult may be at risk of abuse or serious harm. This could include sharing information with a local authority safeguarding team, the police or emergency services. Where appropriate and safe, I will discuss this with you first and share only the information needed.

I do not record private coaching sessions or retreat sessions.

6. The Grief Lounge and the podcast

If you join The Grief Lounge Facebook group, Facebook also processes information about your account and activity under its own privacy terms. Other group members may see what you choose to post or comment. Please consider carefully what you share about yourself or anyone else, including children. I cannot control how another member handles information they have seen in the group.

Listening to the podcast does not require you to give me personal information directly. The platform you use to listen may process information under its own privacy notice. If you appear as a podcast guest, I will explain the recording and publication arrangements to you separately before recording.

7. Who I share information with

I may share information with providers I use to run my website, email and video calls, and to store information securely or process payments where applicable. I only share the information needed for those services and take steps to check that appropriate data protection safeguards are in place.

I may also share information with professional advisers, insurers, public authorities or safeguarding services where there is a proper legal or safeguarding reason to do so.

I do not sell your personal information.

Some service providers may process information outside the UK. Where this happens, I will take steps to ensure an appropriate legal safeguard is in place.

8. How long I keep information

I keep information only for as long as needed for the reason it was collected, taking account of legal record-keeping requirements and the possible need to respond to complaints or legal claims.

Different information may need to be kept for different periods. For example, financial records may need to be kept longer than an unanswered enquiry. I review the information I hold and securely delete it when it is no longer needed. If you ask about a particular record, I can explain the retention period or the criteria I use to decide it.

9. Security

I use reasonable organisational and technical measures to protect personal information, including access controls and password-protected devices. No online service or method of transmission can be guaranteed completely secure. If you believe information you have sent me has been compromised, please email me.

10. Website cookies

My website may use cookies or similar technologies needed for it to work. Other technologies, such as certain analytics or marketing cookies, will only be used where the applicable rules allow and, where required, after you have made a choice about them.

Information about the cookies actually used on my website and how to change your choices should be available through its cookie notice or settings.

11. Your rights

Depending on the circumstances, you may have the right to ask for a copy of your information, correct inaccurate information, ask for information to be deleted or its use restricted, object to certain uses, request a transfer of information, or withdraw consent where I rely on it.

These rights are not absolute. To make a request, email Sadie@thegriefcoachuk.com. I may need to confirm your identity before responding.

You can also complain to the Information Commissioner’s Office at ico.org.uk. I would welcome the opportunity to address a concern directly first.

12. Changes to this notice

I may update this notice when my services or the way I use information changes. The current version will be available on my website with its last updated date.
